9:00 AM – 3:00 PM ET, Optional 1:1 Support 3:00–4:00 PM ET
The Program Information Report (PIR) is the Office of Head Start's annual picture of your children, families, staff, and services, and every grant recipient and delegate must submit one through the Head Start Enterprise System (HSES). Most PIR problems are not reporting problems; they are data-quality problems that built up quietly over the program year. This two-day GoEngage workshop helps cross-functional teams find those gaps early, fix them at the source, and set up a repeatable process so reporting season is a review, not a scramble.
Day 1 focuses on finding gaps: understanding how each PIR section maps to GoEngage, previewing the PIR report, building a data-quality checklist, and assigning ownership.
Day 2 focuses on fixing and planning: correcting records, reconciling counts against HSES validation rules, designing an exception-report routine, and building a backward-planned reporting-season action plan.

Recommended Setup: For the best hands-on experience, we recommend using two screens or devices—one to watch the live Zoom session and another to work in GoEngage. A computer and tablet work great, too!

OVERVIEW

Enjoy curated learning sessions with limited participants (<26 per cohort), breakout sessions, networking, and office hours with faculty.

Find the Gaps Now. Fix the Data. Make PIR Reporting Season Easier.

Every year, Head Start and Early Head Start agencies prepare their Program Information Report (PIR), providing the Office of Head Start with important information about the children, families, staff, and services supported by their programs.

But what happens when the numbers don't look right?

Enrollment totals don't match expectations. Health services are missing. Family services were provided but never documented. Staff qualifications are incomplete. Children who exited the program are still appearing in reports.

Suddenly, your Data Manager is reaching out to multiple departments, staff are searching for missing information, and managers are trying to resolve discrepancies while the submission deadline gets closer.

Sound familiar? The biggest PIR challenges often aren't caused by the reporting process itself. They're caused by missing, incomplete, or inconsistent information that has accumulated throughout the program year.

And the longer those issues go unnoticed, the harder they can be to resolve.

Don't Wait Until Reporting Season to Discover What's Missing!

Join the GoEngage team for an interactive, two-day virtual workshop designed to help Head Start and Early Head Start agencies identify data gaps, correct reporting issues, and build a more organized, proactive approach to PIR preparation.

Rather than waiting until the end of the program year to discover problems, participants will learn how to use GoEngage reports and data-verification tools to review their information, investigate discrepancies, and address issues at the source.

Through hands-on activities and realistic Head Start scenarios, your team will explore how PIR information connects to GoEngage, where common reporting problems originate, and how to establish consistent practices that improve data quality throughout the year.

Because PIR accuracy isn't just your Data Manager's responsibility. It takes every department working together to ensure information is complete, accurate, and ready for reporting.

What You'll Learn and Build

1. Understand How Your GoEngage Data Connects to the PIR - Explore the three major sections of the PIR—Program Information, Program Staff and Qualifications, and Child and Family Services—and learn how information maintained in GoEngage contributes to each section.

Gain a better understanding of reporting timeframes and how enrollment dates, service documentation, participant exits, and other records affect PIR counts.

2. Run Your PIR Early and Identify Potential Problems - Don't wait until you're ready to submit your PIR to discover unexpected results.

Learn how to generate and review your PIR information in GoEngage, compare current-year results with previous submissions, and identify unusual counts, missing information, and potential discrepancies that require investigation.

3. Find Missing and Incomplete Information Across Service Areas - Learn how to identify potential data-quality concerns involving:

  • ERSEA: Eligibility, enrollment, attendance, prior enrollment, and participant exits

  • Health: Insurance, medical and dental homes, screenings, examinations, immunizations, and follow-up services

  • Education: Developmental screenings, assessments, and required documentation

  • Disabilities: IEP/IFSP information, service records, and important dates

  • Family Services: Family demographics, employment, education, family circumstances, and services provided

  • Human Resources: Staff positions, credentials, qualifications, and turnover

You'll begin developing a practical data-quality checklist that helps each department understand which information needs to be reviewed and verified.

4. Fix Data Problems at the Source - Identifying missing information is only the first step.

Learn how to investigate the records contributing to unexpected PIR results and make appropriate corrections directly in GoEngage.

Explore common causes of reporting problems, including inconsistent data-entry practices, incomplete workflows, duplicate records, incorrect dates, and missing documentation.

You'll also examine how improved procedures and configuration practices can help prevent recurring issues.

5. Establish Clear Ownership and Accountability - Who is responsible for entering each piece of PIR information? Who verifies that it's accurate? Who follows up when something is missing? And who approves the final results?

Work with your team to develop a PIR data-ownership map that clearly defines responsibilities across departments and helps ensure important information doesn't fall through the cracks.

6. Catch Problems Earlier With Routine Data-Quality Reviews - Imagine identifying missing health information, incomplete eligibility records, or undocumented family services months before PIR reporting begins.

Learn how to establish a consistent exception-reporting process using GoEngage.

Determine which reports each department should review, how frequently they should be run, who is responsible for resolving issues, and how outstanding concerns should be tracked.

7. Reconcile Your Data and Prepare for HSES Validation - Learn how to investigate discrepancies between GoEngage PIR results, enrollment information, and supporting records.

Explore common validation concerns, including unexpected totals, inconsistent counts, and differences between Head Start and Early Head Start information.

Develop a structured approach to reviewing and reconciling your data before completing the PIR in the Head Start Enterprise System (HSES).

8. Build a Practical PIR Reporting-Season Action Plan - A smoother reporting season starts with a clear plan.

Work backward from the applicable PIR submission deadline to establish milestones for data-quality reviews, corrections, report generation, reconciliation, leadership review, and final submission.

Define responsibilities and timelines so your team knows what needs to happen, when it needs to happen, and who is accountable.

Two Days. Two Important Goals.

Day 1: Find Your Data Gaps

Learn how PIR information connects to GoEngage, run your PIR early, identify missing or inconsistent information, and establish clear responsibilities for data accuracy.

You'll begin developing your agency's data-quality checklist, gap tracker, ownership map, and exception-reporting process.

Day 2: Fix the Gaps and Prepare for Reporting Season

Put your findings into action by correcting records, reconciling data, reviewing validation concerns, and building a practical reporting-season action plan.

You'll also explore ways to make data-quality reviews part of your agency's ongoing operations so future reporting seasons become more manageable.

Leave With Practical Tools Your Agency Can Use

This is a hands-on working session—not another webinar that leaves you wondering what to do next.

Throughout the two days, you'll have opportunities to work directly in GoEngage, review your agency's information, identify potential reporting concerns, and begin addressing data-quality issues.

By the end of the workshop, your team will have developed four practical tools:

  • PIR Data-Quality Checklist: A structured approach to identifying and reviewing missing, incomplete, or inconsistent information across service areas.

  • PIR Data-Ownership Map: Clearly defined responsibilities for entering, verifying, correcting, and approving PIR-related information.

  • Exception-Reporting Process: A repeatable system for identifying data gaps, assigning follow-up, and monitoring corrections throughout the year.

  • PIR Reporting-Season Action Plan: A coordinated timeline with milestones, responsibilities, and review activities leading to submission.

Who should attend?

Data Managers, Health Managers/Coordinators, Health Team Members, Nutrition Managers/Coordinators, Nutrition Team Members

Why directors should send their staff:

Your PIR is only as accurate as the information your entire agency maintains.

Your Data Manager may generate the final report, but the information comes from ERSEA, Health, Education, Disabilities, Family Services, Human Resources, and other departments.

When one department's information is missing or inaccurate, it can affect the overall quality of your agency's PIR.

This workshop helps your team:

  • Reduce last-minute reporting stress by identifying and addressing missing information before deadlines approach.

  • Improve data accuracy through more consistent documentation, verification, and follow-up.

  • Strengthen cross-department collaboration by helping staff understand how their responsibilities affect PIR reporting.

  • Establish greater accountability with clearly defined ownership of PIR data elements.

  • Identify recurring problems and improve the processes contributing to incomplete or inaccurate records.

  • Make better use of GoEngage by strengthening staff knowledge of reporting, data verification, and correction workflows.

  • Build long-term efficiency by establishing routines that make PIR readiness an ongoing process rather than an annual scramble.

Don't send just your Data Manager. Bring the people responsible for the information your Data Manager depends on.

One Price. Your Entire Team. $1,599 per Agency.

Whether you send one staff member or 50, the price stays the same.

We encourage Executive Directors, Program Directors, Data Managers, and ERSEA, Health, Education, Disabilities, Family Services, and Human Resources leaders to participate together.

When your team learns together, you can identify problems, clarify responsibilities, and develop a shared approach to improving data quality across your agency.
