What to Expect When Transitioning to GoEngage: Your Guide to a Successful Onboarding Experience

A successful transition to a new data management system starts long before your first day using it. Here's how GoEngage helps your agency prepare, learn, and build confidence throughout onboarding.

Your GoEngage Onboarding Journey

Every agency is different. Your programs, funding sources, existing workflows, staff experience, and implementation goals all influence what your transition will look like.

Rather than following a one-size-fits-all approach, we work with your agency to establish an implementation plan that reflects your needs and anticipated timeline.

Your five phases of onboarding

  2. Prepare: Configure GoEngage to support your programs and workflows.

  3. Learn: Build staff knowledge and confidence through training.

  4. Launch: Confirm readiness and begin using GoEngage.

  5. Optimize: Continue improving workflows and expanding your use of GoEngage.

Some activities may overlap or occur in a different order depending on your agency's needs.

Phase 1: Plan — Getting to Know Your Agency

Your GoEngage journey can begin before you officially become a customer. During the sales process, our team will start learning about your agency’s goals, programs, current processes, and anticipated timeline so we can better understand your implementation needs.

Getting a Head Start with Your Onboarding Questionnaire

As you explore GoEngage and prepare to move forward, your sales representative may invite you to begin completing our Onboarding Questionnaire.

The questionnaire helps us understand how your agency operates today and gather information that will guide your future configuration meetings. Depending on the products you’re implementing, it covers:

  • Agency & Staff Information: Your programs, funding sources, centers, classrooms, staff roles, and system access needs.

  • Application & Enrollment: Your application process, eligibility requirements, enrollment procedures, and related documentation.

  • Attendance & Health: How your agency manages attendance, health information, screenings, and other important requirements.

  • Education & Family Services: Your existing education and family services workflows, assessments, documentation, and follow-up processes.

You may also be asked to share existing forms, applications, policies, or other materials that could help guide your implementation.

💡Good to know: You don't need to complete everything before purchasing GoEngage or know how to configure the system. Simply tell us how your agency operates today, what you'd like to improve, and where you may need guidance.

Meet Your Dedicated Onboarding Team

Once you join GoEngage, you’ll be introduced to your Success Advisor, who will serve as your primary point of contact throughout implementation.

Your sales representative will share the information gathered so far with your Success Advisor, helping your agency build on the conversations you’ve already had rather than starting over.

Your Success Advisor will work with you to coordinate implementation activities, answer questions, and help establish a realistic timeline for your transition. You’ll also have access to our broader GoEngage team, including training and technical support resources.

Your Kickoff Meeting: Turning Preparation into a Plan

We'll review what we've learned about your agency and discuss your implementation goals, anticipated go-live date, key staff, configuration and training needs, responsibilities, and next steps.

By starting the information-gathering process early, your team can spend more time making important decisions and preparing for the transition.

Phase 2: Prepare — Configuring GoEngage for Your Agency

With your implementation plan in place, we'll begin preparing your GoEngage environment.

Our team will assist with database setup and guide your agency through the configuration process. This approach lets you start learning how to configure the system to support your programs and workflows.

Turning Your Questionnaire Answers Into Configuration Decisions

Your questionnaire responses help us understand your existing processes and guide discussions about how GoEngage can support them.

For example, reviewing your application and enrollment procedures helps us understand how your agency collects information, determines eligibility, and manages enrollment.

During configuration, we'll explore available options and help your team make decisions that support your agency's requirements.

Reviewing Your Existing Forms and Workflows

Implementation is also an opportunity to evaluate your current processes and identify potential improvements.

Phase 4: Launch — Preparing for Go-Live

Go-live is an exciting milestone, but it's important to remember that launching a new system is a process, not simply a date on the calendar.

Before your agency begins using GoEngage for daily operations, you'll work with your Success Advisor to review your progress and identify any remaining preparation activities.

Depending on your implementation plan, this may include:

  • Confirming that essential system configurations are complete.

  • Reviewing staff access and permissions.

  • Ensuring staff have participated in appropriate training.

  • Reviewing critical workflows and operational requirements.

  • Identifying outstanding questions or issues.

  • Confirming your agency's readiness to begin using GoEngage.

Some agencies may benefit from a phased rollout, pilot activities, or a period of using GoEngage alongside their existing processes.

What Happens on Go-Live Day?

Your agency begins using GoEngage according to the implementation plan established with your team. Our team will be available to provide support, answer questions, and help your staff navigate the transition.

It's normal for new questions to arise as staff begin using a system in real-world situations. The important thing is knowing where to turn for assistance and having a process for identifying and addressing those questions.

Phase 5: Optimize — Continuing to Improve After Go-Live

Your GoEngage journey doesn't end when your agency goes live. In fact, as staff become more familiar with GoEngage, they may discover features they weren't ready to use during initial implementation or identify workflows that could be improved.

  • Introduce additional features such as inventory tracking, child location tracking, at-home activities, etc.

1. Accelerated Implementation (~1 month)

An agency with a blank database, a prepared implementation team, and an earlier go-live goal.

Goal: Complete essential configuration and foundational staff training within approximately four weeks, with the agency dedicating significant time to implementation activities.

Week 1: Kickoff & Planning

  • Conduct the kickoff meeting and establish the implementation calendar.

  • Identify the agency's implementation team and department leads.

  • Complete the Onboarding Questionnaire and provide requested information.

  • Begin database setup and the Configuration Course.

Milestone: Implementation priorities and responsibilities established.

Week 2: System Configuration

2. Structured Implementation (~3 months)

An agency that wants additional time for configuration, department involvement, staff training, and preparation.

Goal: Prepare the agency for GoEngage over approximately three months, allowing time for configuration decisions, staff learning, and workflow validation.

Month 1: Planning & Configuration

  • Conduct the kickoff meeting and establish the implementation calendar.

  • Identify the implementation team and department representatives.

3. Extended System Transition (~5 months+)

An agency transitioning from an existing data management system with additional time for data preparation and staff practice.

Goal: Begin implementation and staff training in October, with a structured transition supporting staff learning, data integrity, and program requirements before a February go-live.

Month 1: Kickoff & Configuration
